The Facts of Catering

Location Information

To book the banquet room adjacent to the dining hall, please contact Lisa Webb 409-740-4593 for various rooms on campus please contact Belinda Gaddis at 409-740-4561. It is the customer’s responsibility to ensure that the facility where the event will be held is open and accessible with sufficient time prior to the function for setting up the catering. Set-up times will vary based on the size and complexity of the event and must be coordinated with the catering department. In such instances that the facility is not accessible, the customer will be contacted.

Order and Guarantee

So that we may give you the best possible service, all catering contracts must be completed and signed by Chartwells and the requestor a minimum of three business days prior to the event. Final adjustments, if necessary, must be given no later than noon, three business days prior to the event. Due to delivery and ordering deadlines, we cannot guarantee the availability of a product with less than three business days notice. A Campus Account credit card is required to guarantee your event.

Drop-Off Catering

Drop-Off Catering includes food and drink drop-off only; no wait staff or personnel is provided. We suggest a delivery time of approximately 30 minutes prior to your event. Drop-Off Catering orders are available Monday through Friday 6:30 A.M. to 7:00 P.M. The client is directed to secure Chartwells’ property for later pick-up and will be responsible for any loss incurred.

Payment

The Catering Sales Office must receive payment for your event order no later than seven business days prior to the event. All nonaffiliated TAMUG catered events require an initial deposit to reserve our services. A deposit of 50% of the estimated charges will be required when the reservation is confirmed. The balance will be due seven (7) days prior to the catered event.

Requirements

All events will have a predetermined ending time. Any event that extends past the agreed upon ending time will be charged an additional overtime fee. All events taking place off the campus of TAMUG will be charged a delivery fee. Delivery fees will be determined based on travel distance from the TAMUG campus.

Leftover Food

Food is extremely perishable; therefore, Chartwells cannot be responsible for food left over from your catered event. Food not consumed during the scheduled event remains the property of Chartwells. No credits will be issued for leftover food or unused items.

Cancellations

Cancellation of service must be done in writing directly to the Catering Sales Office no later than Noon, three business days before the scheduled event. Should cancellations occur after three business days prior to the function; the client will be responsible for 100% of the contract.

Serviceware and Linen

Our Catering Department will provide you with high-quality, disposable plasticware, or for an additional charge, china, linens, and glassware are available. Charges vary; please ask your catering consultant for specific details.

Alcoholic Beverage Policies

In accordance with legal liability laws, the management reserves the right to refuse alcoholic beverage service with regard to age and/or intoxication
